To enter the Faculty Student data, click NEW.

 

  1. New Menu Option:

Selecting or Adding a Teacher

You should already be in the system under your school; however, if you do not see your name, proceed to Step 4.  If your name is already listed go to Step 5. 

  1. To add, enter First and Last Names (middle initial is optional), Social Security Number and click Add Teacher.

Either selecting a teacher from the drop-down list, or adding a new teacher will bring you to the Teacher List screen.  First time in, there will be no students listed.  Below are two options: Batch Add and Add Students One-at-a-Time

5.     Adding Students

(REMEMBER, DO NOT SELECT OR ADD SPECIAL EDUCATION {RESOURCE} STUDENTS.  YOU MAY INCLUDE YOUR GIFTED STUDENTS.) 

A. Batch Mode

The BATCH ADD option allows you to select groups of students for adding in bulk mode.  These students may be selected in groups by clicking on the name while holding the key.

After highlighting the names, click the SELECT button but do not hold the key.

Once the names have been selected, you must click the attendance and subject options that will be saved with this group of students.  Remember all of the students must have the same options that you will be selecting.  You may have to scroll down to see the attendance grid.

Completing the Attendance Information for Reading / Language Arts students:
Complete the entry form based on attendance information from school attendance rolls and your knowledge of individual student schedules.

If you teach both Reading and Language Arts, enter 100%
􀂄 If you teach both Reading and Language Arts and another also teaches Reading and Language Arts,
estimate your instructional time with each student and enter that percentage.
􀂄 Example: You teach Reading and Language Arts. They receive 5 hours of Reading and Language Arts instruction per week in your class, and your students receive instruction from another teacher in Reading or Language Arts for one hour additional per week.  With 6 hours total, the percentage for 5 hours would be approximately 83%, with 17% for the other teacher.  You can round this off to 80% and 20%.
You would click '80' beside 'Reading / Language' for your students.

If You teach ONLY Reading -or- ONLY Language Arts to a group of students, enter 50%
􀂄 If You teach ONLY Reading -or- ONLY Language Arts to a group of students, and another also teaches the same subject to the same group of students, you would enter an estimated percentage of your instructional time using 50% as your base percentage.
􀂄 Example: You teach Reading only. They receive 5 hours of Reading instruction per week in your class, and your students receive instruction from another teacher in Reading for one hour additional per
week.  Had you been the full time teacher of Reading, you would enter 50% with 6 hours total.  Since you share instruction with another teacher, the percentage for 5 hours would be approximately 42%, with 8% for the other teacher.  You can round this off to 40% and 10%.  You would click '40' beside 'Reading / Language' for your students.

For Example: You teach Math. A student leaves your class one hour per week for mathematics instruction from another teacher. He receives 4 hours of math instruction per week in your class.  Click 80 for 80% beside Math (4 hours per 5 hours total per week)

Once the students have been selected AND the attendance grid has been filled, click the SUBMIT button.  You will return to the teacher list screen with these students listed below the teacher name. 

      B. Add Students One-at-a-Time

Students may be added one at a time by opening the drop-down list box and clicking on a student name.  A new screen will display with the attendance grid displayed.  Click the percentages for the correct subject area(s) and A or B for attendance, then click SUBMIT.  You will return to the teacher list page with that student added to the bottom of the list. 

            C. Team Batch Adding of Students

For schools which use team teaching, this option may be helpful. 

Below the teacher selection box is a TEAM ADD button.  Click this and a list of teachers in your school will display.  Above this list is an entry box for the team name.  You MUST enter a team name.  Next select the teachers for this team. Highlight the names of the teachers on the team by clicking them with the mouse while holding down the CTRL key.  When all have been selected, release the CTRL key and click the SELECT button.  If a team had been previously entered, you can skip this step by selecting the team name from the box at the top labeled SELECT EXISTING TEAM (this box is not visible if there were no teams previously added). 

Once the team names have been selected, a new page will display that allows each teachers subject and percentage to be entered, as well as A or B for enrolled data.  Note, all the students entered for this team MUST have similar data. 

The percentages to be added are not a button click, like on the attendance grid for the other forms of student entry, but you must enter the actual percentage.  The reason is if four teachers share a group of students in teaching reading equally, they each teach the students 25% of the time in reading.  This percentage was not available in the other grids.  Enter the percentage in whole numbers; 25% - 25, 100% = 100.  Make sure you also click the A/B bubble for how long the group of students has been enrolled in your school (A-full year).  Some examples have been included in the User Documentation provided.  It may be helpful to review these.

 Once subject percentages and enrollment has been entered for each teacher, click the SELECT STUDENTS button.

 This will display the teacher data at the top, and a selection box similar to the BATCH ADD selection box.  Highlight the student names (using the mouse and CTRL key), and when all selected, click SELECT.  The names will display so the selections can be verified.  If all are correct, click the SUBMIT button and this group of students will be added to each of the teachers in the team, based upon the subjects and percentages entered for each of the teachers.

 Following submittal, you will return to the Teacher Selection page, and not to a teacher list.  To verify the students were entered, select any of the teachers on the team and you should see the students listed under each of their names.

Be sure that all information is correct, then go to the top of the page and Logoff.

YOU ARE FINISHED!  See the administrator in charge of your session to sign off that you have completed the TVAAS entry for the 2004-2005 school year.
